How to manage prepaid lesson credits for a tutoring centre

Prepaid packages are simple to sell. They become difficult to manage when attendance, make-up sessions and family balances live in different places.

Start with one connected record.

A lesson credit is a promise that a family has paid for a future lesson. To keep that promise clear, every credit needs to be connected to the student, the delivered lesson and the remaining balance.

The most reliable approach is to make the delivered lesson record the point where attendance, credit use and billing meet.

A practical workflow

What to do, in order.

01

Record the purchase against the family account

Set the number of lesson credits purchased and make the balance visible before the first class is held.

02

Apply credits to delivered lessons

Only reduce a balance when the lesson record is confirmed. This keeps absences, make-up sessions and moved classes from becoming manual exceptions.

03

Review exceptions before invoicing

Check for partially paid invoices, changed sessions and balances that need a family conversation before sending a reminder.

04

Give families a clear view

A guardian should be able to see the relevant invoices and remaining credits without asking staff to calculate the balance.
